How to use the Budget Category Cap Checker

Use this at the end of a budget period to see which individual category caps were crossed, even if the overall budget remains positive.

  1. What to enter

    Add one unique category, cap, and actual spent amount per line. Use a single period and currency for all categories so comparisons make sense.

  2. Worked example

    Food at 325.00 against 300.00 is 25.00 over. Transport at 85.00 against 100.00 is 15.00 under. Total capped-category overspend is 25.00.

  3. How to read the result

    The final column is signed room under each cap. The summary only adds overspent amounts, helping you identify categories that need review.

Method

For each row subtract spent from cap. Add the positive overspend of each category separately; do not cancel it with unused room in another category.

What to check

Categories are user defined and can overlap if you enter the same purchase twice. The worksheet does not import transactions or decide where spending belongs.

Avoid this mistake

Netting an underspent category against an overspent one hides the category that crossed its own cap.

Questions to check

Can a cap be zero?

Yes. Any positive spending then counts as overspend for that category.

Why are underspent amounts excluded from the summary?

The summary measures cap breaches, while each row still shows its own unused room.

Will this change my budget?

No. It is a local review of the numbers you entered.
