Reconcile UPI transactions and resolve failed or pending payments

A UPI app status and a bank statement can disagree while a payment is pending, reversed, or waiting for beneficiary confirmation. This guide helps you compare the records, classify the transaction before acting, and use the relevant bank, NPCI, or RBI route. It does not ask you to share a UPI PIN or upload an unredacted statement.

    Collect the transaction reference without exposing credentials

    Open the UPI app used for the payment and note the date, amount, app status, transaction reference or RRN, recipient or merchant, and any complaint reference already issued. Check the linked bank account using its official app, statement, or support channel. Keep the original evidence in a private location and redact account numbers and unrelated transactions before sharing anything. Never provide a UPI PIN, OTP, password, full card details, or screen-sharing access to someone claiming to investigate a payment; NPCI states that a UPI PIN authorizes bank transactions and should not be shared. Use only the official support route inside the app or your bank’s published channel.

    Compare the app status with the bank debit and recipient outcome

    Compare the UPI app history with the bank statement for the same date and amount. Record whether the account was debited, whether the recipient says funds arrived, whether a merchant received confirmation, and whether a reversal appears. Treat these as separate facts: a debit alone does not prove the beneficiary was credited, and a merchant not seeing confirmation is not the same incident as a person-to-person transfer awaiting credit. NPCI says transaction history and pending status can be checked in the UPI app; its customer FAQ also directs users to the app or participating bank for status and grievances. If the records disagree, preserve the reference and timestamps rather than retrying a payment that might later complete.

    Classify the failure before deciding how long to wait

    Use the incident type in the RBI failed-transaction framework, not a generic wait estimate. For a UPI funds transfer where the payer is debited but the beneficiary account is not credited, the framework sets auto-reversal by the beneficiary bank no later than T+1. For a UPI merchant payment where the account is debited but transaction confirmation does not reach the merchant, it specifies auto-reversal within T+5. T is the calendar date of the transaction. These are different cases and timelines; check the exact RBI circular and your bank’s current instructions if the transaction has a different status or payment rail. Do not promise yourself that every pending payment will reverse within one hour based on older general FAQ wording.

    Reconcile a minimal, redacted record set

    If a comparison table helps, use the Bank Reconciliation Worksheet to match the UPI entry against the bank-side debit or reversal, identify an unmatched item, and record the remaining difference. Use only the fields required to match the entries, such as date, amount, a shortened reference, and status; do not enter a UPI PIN, OTP, full account number, or unrelated statement rows. The published worksheet runs with client-only processing, but still follow your bank or employer data-handling rules and avoid using the tool for records you are not allowed to process in a browser. The worksheet helps organize a comparison; it cannot determine settlement status, file a complaint, or replace bank records. Keep the official evidence separately and securely.

    Raise or check the issue in the UPI app and contact your bank

    Use the UPI app’s transaction-specific grievance or status option and save the complaint number and submission time. NPCI’s BHIM guidance describes checking transaction history and raising an issue for a declined transaction; NPCI’s general FAQ says customers can raise a grievance or check status through the UPI app of a participating bank. If the app route does not resolve the mismatch, contact the bank that holds the debited account through its official support channel and provide the transaction reference, date, amount, and a concise description of the exact mismatch. Ask for a service-request number and written status. If the transaction appears unauthorized or fraudulent, contact the bank immediately using its official fraud-reporting channel rather than treating it as an ordinary reversal query.

    Use NPCI’s complaint facility for eligible transaction-status follow-up

    If you need NPCI transaction-status or complaint facilitation, use NPCI’s official Register a Complaint page and select the relevant payment product and transaction type. The page requests transaction and bank details and explains that NPCI routes a complaint to the relevant member, while that member bank or institution is responsible for resolution. Keep the NPCI complaint reference and continue checking the final status with your bank. NPCI specifically says fraudulent, unidentified, or unauthorized transactions should be raised with the customer’s bank for redressal. Do not submit a complaint through a link sent by an unsolicited caller or message, and do not mistake NPCI’s facilitation service for a guarantee that NPCI itself will credit the funds.

    Escalate unresolved service complaints through the RBI scheme when eligible

    Keep the bank complaint, acknowledgements, transaction record, response, and dates together. Under the RBI Integrated Ombudsman Scheme FAQ, first approach the regulated entity; an RBI Ombudsman complaint may be made if the entity rejects the complaint wholly or partly, the response is unsatisfactory, or there is no response within 30 days. Confirm that the bank or payment participant is covered and follow the current RBI Complaint Management System instructions before filing. This escalation route addresses a service grievance; it is not an instant reversal mechanism and does not replace prompt bank reporting for suspected fraud. Once the bank confirms resolution or reversal, verify the final credit in the official bank record and close the reconciliation with the complaint reference and outcome.
