How to use Bank Reconciliation Worksheet
Use this bank reconciliation worksheet at the end of a statement period or before closing management accounts. It compares book transactions with statement transactions, isolates outstanding or missing entries, and bridges the calculated book balance to the statement close. The matching evidence remains visible so a fallback amount match cannot silently become an accounting adjustment.
Prepare the input
Enter the book opening balance, statement closing balance, and a narrow amount tolerance. Upload signed book and statement rows with date, description, amount, and reference. Inflows are positive and outflows negative. Preserve check numbers, transfer IDs, and bank references where possible. Use the same period and currency, and remove pending transactions that do not belong to the closing statement.
Check the worked example
The example begins at USD 5,000. Four book entries match statement evidence, an outstanding USD 100 check remains in the books, and USD 25 bank interest appears only on the statement. Removing the outstanding book item and adding the statement-only interest bridges the calculated books to the USD 4,950 statement close.
Read the evidence
Reference matches are strongest. A row matched by amount and a date within three days still deserves review when descriptions or posting dates differ. Unmatched book rows may be outstanding checks or deposits in transit. Statement-only rows may be fees, interest, direct debits, errors, or missing postings. The remaining difference should reach zero only after every proposed adjustment is independently supported.
Calculation method
The tool first matches unused statement rows by normalized non-empty reference. Without a reference match, it uses amount within tolerance and posting date within three calendar days. Calculated book balance = opening balance + all book movements. Adjusted book balance = calculated book balance − unmatched book movements + statement-only movements. Difference = statement close − adjusted book balance.

Limits and decision boundary
Fallback matching cannot prove transaction identity, and duplicate amounts near the same date may pair incorrectly. The worksheet does not post journal entries, verify bank authenticity, detect fraud, calculate foreign exchange, or carry reconciling items forward. Accounting policy determines whether an unmatched line is timing, error, or adjustment.
Common mistake
Do not force a zero difference by increasing tolerance or deleting unmatched rows. Document outstanding items, verify bank-only movements, correct source errors, and retain the reconciliation evidence for the next period.
