This workflow helps you keep one private, factual record without guessing what silence means or assuming every employer uses the same timeline. Each employer's posting and application system controls its own instructions.     Create one private record for the search

    Choose a tracking location you can protect and maintain consistently. Create one entry for each real vacancy with only the fields needed to act: employer name, role title, posting URL or reference number, location, date found, closing date exactly as shown, source of the listing, and current stage. Job Application Tracker (34970) can organize these items in a browser-local list and produce a download. It does not connect to your email or employer portals, so it cannot discover applications or update statuses automatically. Avoid entering passwords, government ID numbers, bank details, full application answers, or private assessment content. Keep sensitive documents in a separate secure storage location.

    Verify the vacancy and the application route

    Before adding a job as an active opportunity, open the original employer or authorized public-service posting and confirm the role, location, deadline, required materials, and instructions are still current. If a job board redirects elsewhere, inspect the destination domain and make sure it belongs to the employer or a clearly identified authorized platform. For an unexpected recruiter message, find the employer's contact details independently and ask whether the role and recruiter are genuine. FTC guidance warns that polished messages can still be fraudulent; unexpected requests for money, fake-check transactions, or sensitive information before a legitimate hiring stage are warning signs. Country-specific consumer rules and reporting channels differ.

    Record exactly what you submitted

    After submitting through the employer's stated channel, log the date and time, the submission route, any confirmation or reference number, and the names of the files or versions you sent. Save a copy of your answers and final materials where you can retrieve them securely; the UK National Careers Service specifically recommends keeping application answers for later reference. Do not assume a saved draft, browser confirmation screen, or uploaded file means the complete application was received. If the portal shows an incomplete or error state, return to the employer's official instructions and finish or verify the submission. Keep the tracker entry brief and free of full answer text or identity documents.

    Confirm receipt in the employer's own system

    Use the confirmation email or sign in directly to the employer's official application portal using a trusted bookmark or manually verified domain. Record only what the system confirms, such as received, assessment invited, interview requested, withdrawn, or closed, along with the timestamp and any safe reference ID. Do not treat a job posting's overall status as your personal application status. For USAJOBS applications submitted through its supported Apply route, its Help Center says the agency supplies application status and the Track this application link leads to the agency system; it cannot track applications submitted through other methods. Other employers may use different portals or send no automatic confirmation, so follow their vacancy instructions.

    Update the record only when evidence changes

    When an employer sends a meaningful update, record its date, the status words it used, the next step, and any stated deadline. Keep the exact message in the employer's official inbox or portal and put only a short factual note in the tracker. Silence is not evidence that an application was rejected, accepted, or lost; the UK National Careers Service notes applicants may not hear back from every application. If a portal status is unclear, compare it with the employer's own definitions or contact listed in the posting rather than applying a status label borrowed from another company. Never let a generic tracker recommendation override a specific request or deadline from the hiring team.

    Plan a careful follow-up

    First check the vacancy and confirmation message for a response timeline, a no-contact request, or a named contact. Follow those instructions. If no timeline or restriction is provided and a reasonable period has passed, send one concise, polite message through the verified channel listed by the employer. Include the role, application date, and reference number if appropriate; ask whether any further information is needed, and avoid resending sensitive documents unless requested through a secure official system. Record the message date and any response date in your private list. Do not repeatedly message unrelated employees, use contact details supplied only in a suspicious text, or assume that a lack of reply permits escalation through a different channel.

    Close the entry and protect the records

    When you receive a final decision, withdraw, or decide the vacancy is no longer active, record the confirmed outcome and date, then move the entry out of your active list. Keep only records you still need for interviews, future applications, or a legitimate review, and follow the employer's privacy notices and your local data-protection rules. Delete exported tracker files from shared or public devices and protect any local copy with the device's normal security controls. If a recruiter asks for money, a check deposit and repayment, or bank or identity details unusually early, pause and verify independently through the real employer. India's NCS warns that its services are free and advises against sharing bank details or OTPs; these are India-specific NCS protections, while local reporting routes vary elsewhere.
