Sanitize a PDF before sharing and verify the copy
A PDF can expose information in visible page content and in hidden metadata, comments, attachments, layers, scripts or form data. Removing document properties alone does not redact names or account numbers printed on a page, and drawing a black box over text is not a substitute for applying real redaction. Work on an authorized duplicate, preserve the original under your retention rules and use an approved application for confidential documents. Acrobat's sanitize and redact controls have different jobs. Do not alter a digitally signed or certified original and then present it as still signed; Adobe notes that signed PDFs are restricted and signature integrity depends on the signed content. Ask the sender for an unsigned copy or the required authorized release when signature preservation matters.

Confirm you have authority to share the document; save a working copy and check for signatures, certification, encryption, forms and retention requirements; inspect visible content and hidden-information indicators; decide separately what requires permanent redaction and what requires sanitization; save a new sanitized copy using an approved PDF editor; reopen that exact copy, inspect each page, search/copy text, inspect attachments/forms and rerun a metadata report; obtain sign-off from the document owner before distribution.

Confirm the release decision and protect the original
Identify the intended recipient, purpose and approved distribution channel, then ask the document owner or records/privacy contact what information may be released. Check for legal holds, contractual restrictions, confidentiality labels, password protection, forms, portfolios and digital signatures or certification. Save a separately named working copy in an approved location and record the original filename and source. Do not run a metadata cleaner or full sanitization on a signed original: document changes can affect signature validity or certified permissions. Adobe's signed-PDF guidance says an edited signed document may require the unsigned original or the signer to remove their signature; get an authorized editable copy and preserve the signed record unchanged. If the output must remain a verifiable signed original, stop and obtain an approved process from the signer or records owner.

Inspect both the visible pages and hidden-information signals
Review every page at normal size and high zoom for names, addresses, account identifiers, handwritten notes, QR/barcodes, annotations, tracked changes or content that should not leave the organization. Separately inspect document properties, comments, attachments, hidden layers, form fields/data, embedded content, scripts and prior review material using the approved PDF editor's hidden-information or sanitize review. PDF Document Metadata Report (58324) can export observable Info fields and XML metadata signals, which may expose author or title details; it does not inspect all visible text, attachments or every hidden object. Use it as one narrow inventory, not a clearance certificate. Keep a page/reference list of items to remove and the release rule or owner approval that justifies each removal.

Decide what needs redaction and what needs sanitization
Separate visible sensitive content from hidden data. If text or an image on a page must be removed, use a true redaction workflow that applies the redaction and removes the underlying content; do not cover it with a shape, blur or white rectangle. Adobe explains that visible redaction and hidden-data sanitization are separate tasks: hidden metadata or embedded content must be sanitized separately. If only standard document properties need clearing and the file is otherwise approved, Remove PDF Metadata (81) can clear those fields and save a distinct copy, but it does not replace a full hidden-content review or visible redaction. If a signature, certificate, form field, accessibility structure or recipient workflow could be affected, pause and have the document owner decide whether to issue an unsigned, flattened or alternate release copy.

Create a separate sanitized copy in the approved editor
In Acrobat Pro, open All tools > Redact a PDF > Sanitize document. Choose Remove all only after the owner confirms that all targeted hidden information can be removed, or use Selectively remove to choose the approved hidden items. Apply any needed visible redactions separately and review every marked page before applying them. Save to a new filename and approved destination, then close the source without overwriting it. Adobe's current help lists metadata, comments, hidden layers and other sensitive material as potential hidden content; exact controls vary by Acrobat version. If using the Nirmion metadata tool, use it only for standard properties and then repeat the separate hidden-content and visible-content checks in an approved PDF editor. Do not upload confidential files to tools or cloud services unless your organization explicitly permits that data flow.

Verify the saved copy before releasing it
Reopen the exact output file from its final location rather than trusting a success message. Compare each page with the approved release checklist; select and copy text around every redaction; search for removed terms; inspect document properties and the PDF Metadata Report again; check that attachments, comments, hidden layers and form values match the approved plan; and confirm no white-box or draft marks remain. If a signature remains visible, validate it in Acrobat and read its status—do not assume a signature picture is a valid signature or that the sanitized copy preserves the original. Confirm the filename, page count, accessibility or form behavior the recipient needs, and access permissions. Have a second reviewer compare the checks to the release approval, then distribute only the verified copy through the authorized channel and retain the original and approval record securely.
