A conference runs more smoothly when every critical task has an owner, deadline, backup and source of truth. This workflow helps organizers turn the event brief into coordinated venue, access, program, supplier and day-of plans. The University of Washington resources are examples of institutional planning, not universal rules; confirm your venue's requirements, local permits and organizational approvals. ADA and OSHA references below are U.S.-specific and apply within their stated scope. Agree the event brief, decision owners and approval path
Record the conference purpose, audience, expected attendance range, format, date window, budget owner, decision maker and non-negotiable outcomes. List the organization and venue approvals needed before announcing or committing costs, and confirm lead times for rooms, catering, facilities, audiovisual support, security and registration. The University of Washington Tacoma planning timeline recommends setting objectives and support needs early, then reserving space and finalizing the run of show in stages; its timelines are an example to adapt, not a universal deadline. Create a single shared task register with task, accountable owner, due date, status, dependency and escalation contact. Do not announce unconfirmed room, accessibility or schedule details as facts. Confirm the venue, participant access and operational constraints
Walk the participant journey from arrival and registration through sessions, meals, restrooms and departure. Confirm room capacity and layout with the venue, accessible routes and seating, registration-desk access, microphones, lighting, signage, quiet or prayer space where applicable, and how participants can request accommodations. Agree who will arrange interpreters, captioning, assistive listening or alternate-format materials when needed; share an accessible way to request support and a response deadline. Ask venue staff about emergency procedures, evacuation roles, first aid, loading access, power, internet and any local permits or restrictions. The U.S. ADA meeting guidance describes access and effective communication considerations; verify current local obligations and venue details with the responsible authority rather than treating this checklist as legal certification. Assign workstream leads and close supplier dependencies
Name one lead and one backup for program, speakers, registration, venue liaison, catering, audiovisual, accessibility requests, communications, attendee support and incident escalation. Put each supplier?s written scope, delivery window, setup needs, contact number, cancellation terms and approval status in the task register. Confirm speaker arrival, presentation format, pronunciation, consent to recording, slide handoff, and whether a backup presenter or offline copy is available. Reconcile the published agenda with room turnover, meal service, breaks, accessible transition times and technical changeovers. For large or high-density events, coordinate crowd flow, staffing and emergency arrangements with venue safety personnel and the relevant local authorities; OSHA?s crowd guidance was written for retail events and should only be adapted where its context fits. Build, review and rehearse the timed run sheet

Add setup access, registration opening, doors, breaks, accessibility support checks, emergency briefing, teardown and handover; include realistic buffers rather than scheduling every change at the same minute. Compare the generated sheet against the approved agenda and supplier confirmations, then assign a version owner and change cutoff. Share the current version with the event team using an access-controlled channel, rehearse critical transitions with the venue and AV lead, and print or save an offline copy. Run the event with a clear escalation path and close out
Before doors open, the operations lead checks the venue handover, room layout, accessible routes and requested services, registration readiness, AV and connectivity, supplier arrivals, signage, emergency contacts and the latest run-sheet version. During the event, each lead reports changes to one operations channel; the lead records the decision, owner and revised timing, and informs affected speakers and attendees. Pause or adapt a session if a safety, access or communication need is not being met, and follow the venue?s emergency plan and local authority instructions. After teardown, reconcile supplier deliverables and invoices against approvals, return venue equipment, secure attendee information, record incidents through the organization?s process, and collect feedback while details are fresh.
