Reduce a PDF to an upload size limit and verify the copy
A smaller PDF is useful only if the receiving portal accepts it and the pages remain usable. Check the portal's own byte and page limits first, keep the source file, and inspect every compressed page. Nirmion PDF Compressor sends the selected PDF to its processing API. Do not use it for bank, tax, medical, legal, identity, or other confidential records unless your privacy and security rules explicitly allow that handling; choose an approved offline method for sensitive documents.

Read the recipient's exact PDF requirements
Open the official upload page or instructions and write down the maximum file size in bytes, maximum page count, accepted file type, password rules, required signatures, and whether pages must remain searchable or accessible. The IRS Document Upload Tool, for example, publishes limits for its own notice-response channel; never copy those limits to another portal. Do not assume that every portal uses the same definition of MB or accepts a split document. If the instructions show a decimal megabyte limit, compare the byte count shown by the portal or operating system rather than relying on a rounded display. Keep the source URL and date checked so you can resolve a rejection against the recipient's current rules.

Check sensitivity and whether API processing is allowed
Before selecting a file, identify whether it contains account numbers, tax records, health details, legal communications, identity documents, customer data, or confidential business information. Nirmion PDF Compressor sends the selected PDF to the Nirmion processing API to create the output and currently accepts a source PDF no larger than 10 MiB. Use it only for a non-sensitive file or when the data owner and your organization's rules permit that handling; do not treat browser access as proof that processing stays on your device. For sensitive material or a source above the tool's cap, use approved offline software or ask the recipient for a secure alternative. Keep access to working copies limited and follow your retention policy.

Preserve the original and capture a baseline
Save a separate working copy and leave the original unchanged. Record the original file size and page count, and note any required searchable text, embedded fonts, color detail, form fields, signatures, links, bookmarks, or accessibility features. Open the original and confirm it is the correct document and version before processing. A compression workflow should not be used to hide, remove, or rewrite content to satisfy an upload limit; if the recipient's requirements conflict with preserving a feature, ask the recipient what alternate format or delivery method they accept.

Start with light compression and increase only if needed
Upload the working copy to PDF Compressor and select the light preset first; this preset applies lossless optimization. If the result remains over the recipient's limit, consider balanced and then smallest only when image re-encoding and reduced resolution are acceptable for the document. Adobe's documentation explains that compression choices can trade file size against image quality. Do not choose the smallest output just because it is the smallest, especially for diagrams, small print, evidence images, or scanned text. The tool cannot infer the receiver's legibility or evidentiary requirements for you.

Compare the returned byte count with the portal limit
Download the generated copy and compare its measured byte size with the recipient's stated cap, leaving a small margin if the portal rounds file sizes or applies an additional combined-upload limit. PDF Compressor reports the input and output byte counts, savings, and page count, and returns a non-larger fallback when optimization cannot reduce the file. If the result still exceeds the limit, do not repeatedly recompress the already compressed copy; revisit image-heavy pages, remove pages only if the recipient explicitly permits it, or ask for an approved alternate submission route.

Inspect the compressed copy page by page
Open the downloaded output in a trusted PDF reader and compare it with the original. Check every page for missing or reordered content, clipped margins, unreadable small text, blurred charts, changed orientation, blank pages, broken links, and altered form fields or signatures. Search for a phrase that should remain selectable if the original had searchable text, and confirm the page count matches unless a change was approved. For an image-reencoded preset, inspect images at normal reading zoom as well as close-up. If anything important is degraded, discard that copy and use a lighter preset or another approved method.

Submit the verified copy and retain the right records
Upload only the verified copy through the recipient's official portal and confirm the portal names the right file and reports successful receipt. Save the submission confirmation, the source and output filenames, the checked limit, and the date if your process requires an audit trail. Keep the original as the authoritative record; do not overwrite it with the compressed copy. Follow the recipient's retention instructions and your own policy for temporary copies, and securely dispose of unneeded sensitive files. If the portal rejects the PDF, use its error message or contact the recipient rather than altering substantive content to force acceptance.
