Permanently remove a searchable phrase from a PDF
This workflow covers a small, text-searchable PDF and one exact phrase that you are authorized to remove. Nirmion's Redact PDF tool uploads the selected file to the Nirmion API for processing; use it only when your organization's rules allow sending that document to an external service. Do not upload confidential, regulated, classified, legal-hold or otherwise restricted material. The tool can miss scans, image text, handwritten content, differently formatted variants and metadata. It removes detected searchable occurrences; it does not decide what should legally be withheld or certify the whole file as safe to disclose.

Confirm the redaction decision and upload permission
Before editing, determine who owns the document, who authorized release, and exactly what information must be withheld. If this is a court, government, employment, health, financial, legal-hold, classified or regulated record, follow the governing disclosure policy and use the approved redaction system or an authorized reviewer. Do not let a PDF utility decide whether a name or phrase is legally exempt. Nirmion Redact PDF sends the selected PDF to its API for a processing request, so do not upload a document if your policy prohibits external processing or if it contains information that must remain inside a controlled environment. This tool's reviewed scope is one searchable phrase in one PDF no larger than 10 MB and 500 pages. Password-protected PDFs must first be handled in an approved local workflow; do not remove a password by sending the protected file or its password to an unapproved service. If the document is sensitive or its redaction basis is uncertain, stop and use your organization's approved offline tool and review process.

Preserve the source and find every version of the phrase
Keep an access-controlled original unchanged and create a separate working copy. Read every page, including headers, footers, tables, attachments and repeated page elements, and identify the exact searchable phrase the approved decision requires you to remove. Check capitalization, spacing, punctuation, hyphens, initials, alternate spellings, fragments and related identifiers; one search string will not discover every variation. Confirm the target text is selectable/searchable rather than only visible inside a scan or image. If it is image-only, handwritten, covered by another object, split across lines, or OCR may have altered the characters, use a reviewed OCR or visual redaction method in an approved environment and inspect the results. Record which pages and variants need review without putting the sensitive phrase into a shared checklist. Save the original's filename and checksum in a restricted record if your procedure requires a traceable source. Do not overwrite the original with a redacted derivative.

Run the redaction for one searchable phrase
Open the published Redact PDF tool only after confirming that this file is allowed to be sent to the service. Choose the working copy, enter one phrase exactly as it appears in searchable text, and run the operation. The tool accepts one phrase from 2 to 120 characters, a single unlocked PDF, and a bounded file/page size; it searches page text and applies permanent redaction rectangles to the detected matches rather than adding a removable black shape over the original. If it reports no match, do not treat that as proof the phrase is absent: check the text layer, spelling, line breaks and image/OCR content, then choose another approved method. If the document contains multiple distinct phrases or formats, repeat only from a clean working copy or follow a controlled multi-pass procedure and verify each pass. Download the separate result and give it a new, versioned filename. The tool does not sanitize all metadata or prove that every copy, annotation, embedded file, alternate spelling or image-text instance has been removed.

Inspect the output for missed text and collateral changes
Open the downloaded result in a trusted PDF viewer and inspect every affected page at normal and high zoom. Confirm each intended occurrence is visibly covered and neighboring words, table cells, images and page content remain intelligible. Search the output for the phrase and its variants, then select/copy text or use an approved text-extraction utility to confirm that the content is no longer recoverable from the page text. This check is necessary because redaction depends on searchable text boundaries and the match rectangles can alter nearby text or graphics. Look separately for scanned or embedded images, hidden layers, comments, form values, attachments, bookmarks, links, revision artifacts and document properties; the Redact PDF operation does not claim to remove all of them. If the file will be posted publicly, consider accessibility and searchability: a redacted scan may need an approved OCR/tagging and manual accessibility review after redaction. If any check fails, quarantine the derivative and repeat from the protected source using an approved tool; never release a version that only looks blacked out on screen.

Complete review and share only the approved derivative
Have the accountable document owner or reviewer compare the output to the redaction decision and confirm that the intended phrase is gone, no unintended content was obscured, and required metadata, accessibility and disclosure markings were handled. If you are releasing a public-records response, legal filing or an institutional record, follow the relevant jurisdiction's exemptions, reason codes, retention schedule and accessibility requirements; this general workflow is not legal advice or a substitute for agency procedure. Keep the source and final derivative in their approved access-controlled locations, and retain a minimal audit record of who reviewed the file, which version was approved and when. Share the approved derivative using a channel appropriate to its classification and recipients. Do not email both the original and redacted file together, expose the original in a shared link, or mistake the tool's download for authorization to disclose. If a mistake is discovered after sharing, follow the organization's incident and correction process immediately and preserve evidence; do not silently replace the file and erase the review trail.
