This guide separates the employee?s steps from employer-only checks and helps verify the request before sharing sensitive data. It is not immigration or tax advice. Verify the offer, employer and secure onboarding channel
Use the employer contact details from its known official website or an independently verified HR contact to confirm the offer, start date and onboarding portal. Be cautious if someone demands a Social Security number, bank details or identity documents before a real interview or confirmed hire, sends a check for you to return part of, or asks you to pay for a job or equipment. The FTC documents fake onboarding portals and early requests for personal information. Pause and verify before entering any sensitive data; an official-looking form or logo alone does not authenticate the requester. (Sources 4, 5)

Complete your employee portion of Form I-9 using current instructions
For U.S. employment, review the current USCIS Form I-9 and its Lists of Acceptable Documents, then complete and sign Section 1 by the applicable deadline: USCIS instructions say no later than the first day of employment, with earlier completion allowed after accepting the offer. Follow the employer?s documented process for showing acceptable documents. Employees choose which acceptable document or combination to present; an employer may not demand a particular document based on citizenship or national origin. The employer completes its verification section and keeps the form. This guide does not determine an individual immigration status or replace USCIS instructions. (Source 1)

Complete the current federal W-4 and check whether state forms apply
Download the current IRS Form W-4 and instructions rather than reusing an old copy. The W-4 tells the employer how to calculate federal income-tax withholding; it is not the tax return and does not itself decide your final tax liability. Read each step and use the IRS Tax Withholding Estimator if your circumstances are complex, such as multiple jobs or other income. Ask HR which state or local withholding forms apply to your work location, since those requirements are separate and vary. If you are uncertain about a tax entry, consult IRS resources or a qualified tax professional instead of guessing. (Sources 2, 3)

Organize employer-specific payroll, benefit and start-day tasks
Ask HR for the exact list of remaining forms, owners and due dates for direct deposit, emergency contacts, benefits enrollment, equipment, access credentials and policy acknowledgements. Separate required forms from optional elections and note who receives each item and how it is submitted. Use Employee Onboarding Checklist (tool 342) to track only task names, deadlines and status; keep SSNs, bank account numbers, identity-document images and benefit details out of the checklist. Confirm receipt and resolve name or payroll-record issues carefully
Save the portal confirmation or HR receipt without retaining extra copies of sensitive documents on shared devices. Confirm with HR that required items were received, your start date and payroll schedule are correct, and you know whom to contact about access or benefits. Compare your payroll name with your current Social Security record; if a legal name change or mismatch needs correction, follow SSA?s process and coordinate with HR rather than altering official details yourself. Keep any remaining copies encrypted or in another employer-approved secure location, and follow retention instructions.
