This workflow helps an India-focused online seller document image permissions, make product visuals match what buyers receive, export channel-specific copies, and retain a review trail. It covers image preparation, not business registration, tax advice, product certification or a complete legal compliance review. Check current platform requirements and current Indian rules for the seller's exact role; stop when ownership, claims or permissions are uncertain.

    Identify who owns each product image and what the supplier permits

    Before building listings, make an asset register for every product and image: who created it, who owns the copyright, the source file or page, and what written permission covers commercial use. A supplier's ability to sell you a product does not by itself prove that it owns the product photographs or can license them to you. Ask for permission that clearly covers your store and sales channels, India and any other target territories, term, cropping or editing, and use by your marketing providers. Save the permission and its date beside the asset. If ownership, model releases, logos, a brand license, or permitted edits are unclear, pause publication and obtain written clarification or legal advice; do not rely on an internet download or an assumption that online images are free to reuse.     Build a clean set from owned or explicitly licensed source files

    Use photographs you created yourself or original supplier files for which commercial product-page and advertising use is documented. Keep a read-only master and a record of the license, creator, product variant and permitted channels. Do not copy competitor listings, watermarks, logos, packaging artwork or lifestyle photography just because the supplier's product looks the same. Check that permission includes any people shown and the edits or overlays you intend to make. Create separate working copies for crops, backgrounds, color correction and text; keep an audit trail so a disputed image can be taken down quickly. If a supplier cannot substantiate a file's rights or the permitted use, use your own photo or a different cleared asset instead. (Sources 1, 2)

    Make every image match the item and claims customers will receive

    Photograph or select images that show the actual product, included accessories, selected size or color, packaging and material as accurately as possible. Do not recolor a product, remove a defect, add a badge, imply certification, exaggerate performance, or show accessories that are not included. Keep a variant-to-image map and compare it with the supplier's current product specification; flag differences between sample and shipped item. Review nearby title, price, availability, delivery, return and other product details against the current supplier and store records. India's Department of Consumer Affairs publishes the E-Commerce Rules and amendments, including a 2026 amendment; use its current rule set to check obligations for your own role, and consult qualified help where applicability is unclear.     Resize channel copies and add useful image descriptions

    Keep the high-quality master unchanged, then create separate output copies to meet the current file type, dimensions, crop, size and quality requirements of each sales channel. Check the result against the exact channel guidance, inspect the full image at normal viewing size, and confirm that product details remain visible. Add concise alt text in the store platform that describes the informative content of the image without keyword stuffing; Shopify's steps and limits are Shopify-specific, so follow another platform's own instructions if you do not use Shopify.     Run a rights and accuracy check before publishing, then maintain the records

    For each final image, have a second person verify the matching product and variant, permission record, crop, visible claims, labels, price context and accessibility description. Remove unsupported badges, guarantees, superlatives and implied endorsements; CCPA guidance says advertising should be truthful and should not exaggerate accuracy, quality, performance or utility. Check the current Department of Consumer Affairs E-Commerce Rules and amendments for the seller/platform relationship rather than treating an image checklist as a legal review. Store the approved output, master, permission, review date, channel and owner together. Recheck assets after a supplier changes the item, licence, packaging, or channel terms; promptly unpublish files whose rights expire or accuracy is disputed. Ask counsel about legal uncertainty.
