Prepare and Issue an Indian GST Tax Invoice
Use this workflow only after confirming the supplier is GST-registered and the transaction should use a tax invoice. It covers ordinary taxable supplies; composition taxpayers, exempt or nil-rated supplies, exports, reverse-charge cases, transport documents, and other special situations may require another document or additional rules. GST Invoice Checker can flag missing fields and basic GSTIN-format problems, but it cannot decide taxability, verify a GSTIN with the GST Portal, select a tax rate, determine place of supply, or submit an invoice.

Confirm the supplier and document type
Start with the supplier's current GST registration details for the GSTIN that made this supply. A GST tax invoice is not a generic receipt: CBIC's FAQ says an unregistered person cannot issue one, and different rules apply to composition taxpayers, exempt or nil-rated supplies, and special transactions. Check the GST Portal or ask the tax owner to confirm registration and the correct document type before using a template. If registration is pending, cancelled, suspended, or unrelated to the supplying GSTIN, stop and resolve that status first. A Nirmion format check cannot establish legal registration or decide whether tax is due.

Record the transaction facts before calculating tax
Collect the supply date, description, quantity or service basis, supplier and recipient GSTINs when applicable, delivery or service location, contract reference, discount terms, and recipient registration status. Have the responsible tax reviewer determine classification, applicable HSN or Accounting Code, taxable value, rate, place of supply, intra-State versus inter-State treatment, and any reverse-charge or exemption issue using current law and transaction records. Do not copy a rate from an old invoice or ask a field checker to infer tax treatment. Exports, SEZ, composition, exempt, reverse-charge, transport, and other special cases may follow a different document path; pause and confirm the right rules before proceeding.

Check current e-invoice applicability
Before finalizing a document that may be covered by e-invoicing, check current GSTN guidance and the supplier's status in the official e-invoice portal, considering relevant turnover years, entity and supply facts, and current notifications. Do not rely on an old threshold copied into a template. Do not treat portal enablement as proof of legal obligation: GSTN's overview explicitly distinguishes enablement from whether the taxpayer must report invoices. If applicability is unclear, pause and ask the GST compliance owner or adviser. E-invoicing covers specified documents and taxpayer classes; it is not simply a PDF export, and Nirmion does not decide whether a transaction is covered.

Prepare the invoice with the required particulars
Use the approved accounting or billing system and assign a consecutive invoice number from a series unique for the financial year. Check the Rule 46 particulars that apply, including supplier name, address and GSTIN; issue date; required recipient details; HSN or Accounting Code; description and quantity or unit when relevant; total and taxable values after discounts; applicable tax rates and amounts; delivery address if different; place of supply for inter-State supplies; reverse-charge indication where applicable; and signature or digital signature as required. Rule 46 contains exceptions and special cases, so compare the current rule and notifications rather than treating this summary as a complete legal template. Keep the source transaction record available for the authorized reviewer.

Check basic field completeness and GSTIN structure
On a controlled draft, use GST Invoice Checker (209) to flag missing common fields and basic GSTIN-structure issues before an authorized person reviews the invoice. Compare every flag with source records and the applicable Rule 46 requirements. The tool does not contact GSTN, confirm that a GSTIN is active or belongs to the named party, validate HSN/SAC or rates, calculate place of supply, determine legal correctness, or establish e-invoice applicability. Do not submit identity documents, credentials, OTPs, bank details, or confidential attachments. Resolve material discrepancies in the approved billing system and obtain the required finance or tax approval before issuance.

Issue through the approved route and complete any IRP step
After the authorized reviewer approves the fields and tax treatment, issue the document from the supplier's approved billing system. If the transaction is covered by e-invoicing, report it through an authorized Invoice Registration Portal using current GSTN instructions; check the returned Invoice Reference Number and signed QR code and include them as required. A local PDF, unreported draft, or portal enablement message is not a substitute for a required IRN. If the IRP rejects the payload or returns a different invoice identity, do not distribute the draft as final. Resolve the issue in the source system and follow current GSTN instructions for reporting or correction.

Verify delivery, retain the record, and correct errors properly
Save the final invoice and any IRN/QR response in the organization's controlled record system, then confirm the intended recipient received the correct version. Keep invoice number, date, transaction reference, and dispatch evidence together so finance can reconcile outward-supply reporting and answer a genuine query. Never silently overwrite or renumber an issued tax document to hide an error; consult current GST rules and the accountable tax reviewer about an amendment, credit note, debit note, cancellation, or other permitted correction, preserving the audit trail. Do not send a replacement PDF until the correction route is confirmed. GSTN and CBIC systems govern statutory reporting; Nirmion is not a filing or compliance system.
