This guide helps parents and carers prepare a complete, accurate application packet for a state-funded primary or secondary place. It does not cover sixth-form or private-school applications, and it does not predict an offer. Follow the council and school instructions for the specific intake year; sensitive child records should be shared only when requested through an official route.

    Confirm that this is the right application route and year

    This guide covers applications for state-funded primary or secondary school places in England. First establish whether you are applying in the normal reception or secondary transfer round, making an in-year application after a move, or applying to a sixth form or private school; those routes and responsible bodies differ. Identify the child?s intended year group, start year, home address for the relevant date, and the parent or guardian who will submit. Use the GOV.UK council finder for the home postcode, then open that council?s current school-admissions page. If the child has an Education, Health and Care plan or a complex placement issue, contact the issuing council?s SEND/admissions team for the correct process before relying on the general route.     Check each school?s published criteria and rank genuine preferences

    Read the current admission arrangements for every school you may name, including its admission authority, published oversubscription criteria, catchment or distance rules, sibling or faith evidence where relevant, and any supplementary form. Check what counts as the home address and the date on which it is measured; do not assume a planned move or a nearby address will qualify. Apply through the home council even when some chosen schools are in another council area, and enter preferences in the order the council requires. Include realistic alternatives rather than listing only one school to try to improve odds: GOV.UK says listing one school does not increase the chance of an offer there. Criteria, preference limits, supplementary forms and dates can vary, so use the current council and school arrangements for the specific intake year. No preference guarantees an offer.     Build an accurate evidence checklist before handling documents

    Make a checklist from the council portal and each school?s published arrangements. For every requested item, write down whose record it is, why it is needed, the accepted file type and size, whether an original, certified copy, or separate supplementary form is required, and when it is due. Common requests may include proof of address or evidence for a published criterion, but do not send identity, medical, immigration, financial or other sensitive records unless the authority asks for them and explains the route. Check spellings, dates and address details against the source record; never edit an official document to make it appear to meet a criterion. Keep originals unchanged and store working copies securely. If instructions conflict, ask the council or admission authority and keep its written answer with the checklist. (Sources 2, 3)

    Prepare files to the portal?s exact rules

    Upload each requested document in the category and format the council specifies. Use clear filenames that identify the document without exposing unnecessary personal details; verify every page is complete, legible, correctly oriented and belongs to the right child. Do not merge files unless the portal or authority explicitly asks for a combined PDF. Keep the original files, check the merged page order and readability, and confirm the final size and format against the portal?s limits.     Submit once, save the receipt, and track the decision route

    Review the child?s details, school order, declarations, evidence and contact information against your checklist before submitting through the council?s official portal or paper route. Save the confirmation email, application reference, submitted copy and date; verify the portal shows the application as received and follow any instruction to send supplementary forms directly to a school. Note the council?s offer date and the response deadline in the offer letter, and accept or decline as instructed so a place is not lost through inaction. If none of the preferred schools is offered, read the decision letter, ask about a waiting list, and use the stated appeal route and evidence deadline if you choose to appeal.
