Start with the employer's application instructions because required formats, length, fields, and supporting documents differ by country, sector, and vacancy. The process below uses general U.S. CareerOneStop guidance, separates USAJOBS federal requirements, and notes that UK CV conventions are described by the National Careers Service. It does not promise an interview or an ATS score.     Start with the vacancy and its application rules

    Save the exact job posting and note the employer, role, location, closing date, application channel, and named contact if provided. Read the entire posting for required qualifications, preferred qualifications, duties, screening questions, and documents; keep essential requirements separate from optional preferences. Follow the employer's explicit instructions for length, file format, naming, and whether a resume or CV is requested. Requirements vary by country, sector, and vacancy. For U.S. federal applications, use the current USAJOBS instructions for that announcement, including any stated page limit and required fields; those federal rules do not automatically apply to private employers. For a UK role, check the employer's requested CV format and the National Careers Service guidance. Do not send the same generic document to every vacancy.

    Build a fact-checked inventory of your evidence

    Before writing, list roles, employers, dates, education, training, projects, volunteer work, tools, languages, and relevant achievements from reliable records. For each possible example, record what you did, the situation or scale, the skill used, and the outcome you can substantiate. Check dates and official titles against contracts, certificates, work records, or the organization; mark anything uncertain for follow-up instead of guessing. Include transferable experience from unpaid work or projects when it demonstrates relevant ability, and describe it accurately. Keep private identity details and confidential employer or client information out of this working inventory.     Choose a structure that makes relevant evidence easy to find

    Select a straightforward structure that fits your history and the role. A chronological format suits a clear progression in the same field; a combination format can foreground transferable skills while retaining a detailed work history. CareerOneStop cautions that a functional format with little work-history detail can be misread by employers or applicant tracking systems, so use it only after considering the trade-off and employer instructions. Use familiar section names such as Experience, Education, and Skills. Put the most relevant material early, but keep dates and role context clear. A short headline or summary is optional: use it to state a specific job direction and evidence, not generic traits. Skip the summary when it adds no useful information. UK CV section conventions and U.S. resume conventions can differ, so follow the target market's guidance.

    Draft accomplishment bullets from verified facts

    For each relevant role or project, select a small set of examples that show the required work. Write concise bullets that begin with the action, explain the context or method, and state a result when one is known. Prefer a measurable result only if records support it; never invent a percentage, budget, team size, customer outcome, or time saving to make a bullet sound stronger. Borrow the employer's accurate terminology for skills and responsibilities you genuinely have, but do not copy a requirement as if it were your experience.     Add relevant skills, education and required credentials

    Include skills and credentials that are relevant to the vacancy and that you can discuss or demonstrate. Use the same clear names employers and official credential issuers use; expand an unfamiliar acronym once when space allows. Put a required license, certification, portfolio, language, or degree where the reader can find it, and check its exact status and dates. Do not list a course as a completed qualification if it is still in progress. Place education before experience when it is the strongest recent evidence, such as for a new graduate; otherwise it can follow the work history. Omit unrelated or unsupported claims and avoid long keyword lists that obscure your actual experience. If the employer requests a separate portfolio or work sample, check links, permissions, and confidentiality before including it.

    Format for clear reading and inspect the exported file

    Use a simple, consistent layout with readable type, clear spacing, and standard section headings. Reopen the exported PDF or document, inspect every page, select and copy text to see whether its reading order makes sense, and check that contact links, dates, bullets, and page breaks remain intact.     Proofread, tailor, and submit the requested version

    Compare the finished resume against the vacancy one last time: every required item should be addressed with truthful evidence or clearly identified as a gap. Verify employer names, job titles, dates, spelling, punctuation, email address, phone number, and links. Ask a trusted reviewer or career adviser to check clarity if available, and correct factual or formatting problems they find. Create a role-specific filename without unnecessary personal identifiers, then submit through the employer's official channel before the deadline. If an online form asks for work history separately, ensure the entries agree with the resume and answer each question directly. Keep a copy of the submitted version and note the date. Do not upload confidential material or unnecessary sensitive identifiers, and do not assume a resume checker can confirm receipt, satisfy screening questions, or guarantee an interview.
