    Define the audience, learning outcome and event boundaries

    Write a one-page brief naming the decision owner, target audience, purpose, start and end time with time zone, expected attendance range, language, format and one observable outcome. For a training session, state what participants should know or be able to do afterward; for a briefing, state the decision or next action the audience should understand. Decide whether participation is public or restricted, whether registration is needed, which questions or polls will be used, and whether a recording or replay is intended. Set a measure such as registrations, attendance duration, poll responses or a short post-event feedback question. Avoid collecting sensitive details in a registration form unless the organizer has a clear need, approved handling method and stated retention period. Confirm internally who can approve the description, speakers, date and attendee-facing claims before anything is published. A webinar is a structured presentation with controlled audience participation, which platform guidance distinguishes from an ordinary collaborative meeting.

    Select the platform and configure registration deliberately

    Compare the organization's approved platforms against audience access, expected capacity, registration and approval needs, presenter controls, captions, chat or Q&A moderation, recording options, reporting, administrator policy and the available license. Verify feature limits with the platform administrator before committing; capabilities may vary by tenant, subscription and event type. Create the event with the correct date, time zone, duration, access type, description and named organizer. If using Microsoft Teams, its current webinar guidance supports public or organization-only event access, registration and presenter setup; check the current product interface and license for the controls available to this organizer. Test the registration page using a separate account and confirm what invitees see, whether approval or a capacity limit is enabled, and how changed details are communicated. Share only the official registration link through approved channels; do not paste a private presenter link or attendee list into public pages or Nirmion tools.

    Build a timed agenda and prepare presenter materials

    Arrange the session around the outcome: opening and housekeeping, context, main presentation or demonstration, a planned interaction, questions, summary and next steps. Give each segment a realistic start time, duration, speaker, handoff cue and backup owner; reserve buffer for late starts or audience questions. Confirm each speaker's name and role, topic, preparation deadline, slide version, pronunciation, accessibility needs and contact route. Review slides for readable text, meaningful charts, permission to use third-party media and links that work. If you promise captions, interpretation, a transcript, accessible materials or a replay, assign someone to verify each deliverable and say when it will be available. In Teams, organizer notes and assigned pre-webinar tasks are available to presenters, while attendees do not see those notes; use the platform's current preview to distinguish internal instructions from public event-page copy. Use the Conference Agenda Builder to draft the sequence, then keep the approved speaker and timing version in the organizer's controlled workspace.

    Assign production roles and rehearse the complete attendee path

    Name an organizer, host, presenter, moderator, technical producer and backup; one person may hold more than one role for a small session, but explicitly assign who admits guests, watches questions, advances slides, handles a failure and decides whether to pause or cancel. Rehearse with the same account types and equipment expected on the day: registration confirmation, presenter access, attendee join, lobby or waiting room, screen sharing, sound, captions, poll or Q&A, moderator controls, recording consent prompt and end-of-event handoff. For an encoder-based YouTube stream, test with representative audio and video before going live and monitor stream health; use the current YouTube encoder guidance and a connection test rather than copying a bitrate from an unrelated setup. Confirm the recording is off unless authorized and announced, and define a fallback such as a revised start message, alternate presenter or rescheduled link. Send a concise attendee reminder with the official join route, time zone, accessibility contact and support instructions.

    Run the session, review results and close out recordings safely

    Open the production run sheet before attendees arrive. Verify the date and join route, presenter readiness, slides, audio, captions and assigned moderation coverage; keep a private channel open for the production team. During the webinar, follow the agenda while recording timing changes, technical incidents and questions that need follow-up. End by repeating the intended next step and where approved materials will appear. Afterward, compare registrations with attendance and duration, review poll or feedback responses, and assign an owner and due date to each follow-up. Microsoft Teams organizers can review registration and attendance reports, but report access is restricted to the organizer in the current support guidance; download and store reports only in an approved location with limited access. If recording was authorized, verify its visibility and retention settings before sharing; platform archives may have duration limits, so retain a local backup only if policy permits. Delete or restrict attendee data and recordings according to the notice and the organization's retention policy, and record what should change for the next event.
