It turns the session goal into a timed participant agenda with named facilitation roles, activity handoffs, breaks, and a review plan. Start from the actual session length, participant needs, and venue or platform constraints; there is no universal break interval or one-size-fits-all accessibility checklist.

    Define who the workshop serves and what they should leave able to do

    Write the intended audience, prior knowledge, session length, and one to three observable outcomes. Describe what participants should be able to produce, decide, practice, or explain by the end; separate that result from topics the presenter wants to cover. Identify any prerequisites, materials, and evidence that would show the outcome was met, such as a completed exercise, demonstration, or short reflection. If the goal is too large for the available time or participant experience, narrow the scope or plan a longer or follow-up session before creating an agenda.

    Confirm time, format, facilitator roles, and participant requirements

    Record the start and finish time, venue or online platform, expected group size, setup and transition time, and any host constraints. Ask the venue or organizer about room layout, accessible routes, equipment, captioning or interpretation requests, and how participants can request accommodations. Confirm who will lead each activity and who can support timekeeping, technology, notes, or participant questions. Include arrival, breaks, and a real closing block inside the total session time. For a covered U.S. organization, check the venue's and host's current accessibility obligations with the responsible organization; this agenda is not an ADA compliance checklist.

    Sequence the activities and assign a time and owner to each

    Arrange the session in a clear arc: welcome and outcomes, short context, participant practice or discussion, a check for understanding, synthesis, and next steps. For every block, write its purpose, minutes, facilitator, participant action, materials, and expected output. Include transitions and a break suited to the session length and participant needs rather than copying a fixed interval.     Check the total, activity flow, access, and backup plan

    Add every activity, setup or transition, break, and closing block; the sum must fit the booked session, with no hidden time borrowed from a break. Check that each activity supports an outcome and has a named owner, materials, and a realistic participation format. Confirm the room or platform can support the planned movement, group work, captions or other requested communication aids, and breaks. Ask the facilitator and venue to review unresolved access or technology requirements. If time does not fit, reduce or move content, revise the booking, or schedule a follow-up; do not erase participant accommodations or needed breaks to make an inaccurate agenda appear to fit.

    Share the agenda, run the session, and revise from evidence

    Send the agenda and practical access information early enough for participants to prepare and request support. At the start, restate the outcomes, session flow, participation options, and break return time. During the workshop, the lead facilitator guides the activity while the timekeeper or cofacilitator flags overruns and handles transitions; record parking-lot questions instead of silently dropping them. Close by checking the stated outcomes and collecting an accessible feedback option. Afterward, compare the planned and actual timing, note where participants needed more explanation or practice, and update the next version. A completed agenda is a planning record, not proof that every learning outcome or accommodation was achieved.
