A digital listing is a downloadable product, so the design, file package, preview images, and delivery mode all need to match what the buyer receives. This workflow follows Etsy's current digital listing and Creativity Standards guidance, including its AI disclosure rule. Confirm the design is eligible and you hold the needed rights
Identify what you created yourself, what collaborators contributed, and whether any fonts, photos, artwork, templates, music, or other assets have licenses that cover this exact commercial use and distribution as a downloadable file. Etsy's Creativity Standards allow original seller-designed digital downloads and require transparency for seller-prompted AI creations; AI prompt bundles and copies of other people's work are not qualifying original downloads. Keep source files and license records. If ownership or license scope is unclear, remove the questionable element or get permission before listing; a marketplace listing does not grant rights to use another person's work, trademark, likeness, or protected character.

Choose instant download or made-to-order delivery
Decide whether the finished file is ready for immediate download after purchase or whether each order requires customization. Etsy treats these as different digital listing types: instant downloads require the buyer files when creating the listing, while made-to-order files are uploaded after completing the order. Choose based on the actual production process and a realistic turnaround capability. For personalized work, write down what information the buyer must provide, how it will be used, and how the seller will deliver the finished file. Do not describe a file as instant if it still needs manual editing, and do not promise a delivery deadline that the workflow cannot meet.

Create and test the deliverable in the buyer's likely workflow
Export the final design in formats that suit its intended use, such as print-ready PDF, image, or an editable source file where that is actually included. Check page size, orientation, dimensions, color, font embedding, margins, bleed, and resolution where relevant. Reopen the exported copy on a different device or application and print a sample when the product is meant to be printed. Confirm that links, layers, and editable elements work and that the file contains no drafts, hidden notes, unrelated personal data, or source assets the buyer is not licensed to receive. Test each deliverable itself; a preview image is not proof that the downloadable file works.

Package files within Etsy's current upload limits
Make the deliverables easy to identify and download: use descriptive file names, organize related items into a clearly labeled archive when appropriate, and include a short instruction or license file only if its terms are accurate and consistent with your actual rights. Etsy's current help page says an instant digital listing can include up to five files, with a maximum size of 20 MB per file, and supported file types are limited to its listed formats. Check the current list in the seller account before publishing because upload support can change. The buyer sees uploaded file names, so finalize naming before attachment and confirm that every promised file is actually present.

Create previews that accurately show a digital item
Prepare original images or a short video that let a buyer inspect the actual design and understand its contents, scale, format, and intended use. Label mockups as previews and show sample pages or screenshots from the final file without exposing editable source material that is not included. State plainly that the customer receives a digital file and that no physical product will be shipped. Etsy's listing flow distinguishes digital files from physical items; make sure the category and media do not create the opposite impression. If AI was used to create the item, include Etsy's required disclosure in the listing description and do not present generated work as handmade by a person.

Write the listing details and format relevant tags
Choose the closest accurate category, write a title and description that say what the file is, what's included, what software or printing steps may be needed, and any license or personalization limits. Add only attributes and terms that truthfully describe the item. Etsy allows up to 13 tags per listing, each up to 20 characters; the Etsy Tag Formatter can organize supplied tag text to those limits, but it does not research search demand, determine relevance, or guarantee visibility. Check every formatted tag for accuracy and avoid unrelated popular terms. State known compatibility limits and support contact instructions so buyers can decide before purchasing.

Configure the listing and verify every attached asset
In Etsy Shop Manager, add a listing, mark the item as digital files, choose instant download or made-to-order as appropriate, set the category and details, attach the final files for an instant download, and enter pricing and the rest of the listing information. Before publishing, compare the title, image previews, description, price, tags, file names, and attachments against a single approved checklist. Verify that the file count, sizes, and types meet the current Etsy limits and that the download contains exactly what the listing promises. Save as a draft if any rights, compatibility, or delivery question remains unresolved.

Publish, support delivery, and maintain the files
After publishing, review the public page as a buyer and confirm it identifies the item as a digital download, shows the correct previews, and describes the included files and use limits. Keep a protected master copy and version record so a corrected file can be distinguished from the version already sold. For made-to-order listings, assign an owner to check new orders, create the custom file, and upload it through Etsy's order workflow within the stated time. Monitor buyer messages for repeated download or compatibility problems and update the listing when formats, Etsy limits, licenses, or the source design change. Do not claim a digital file is attached if delivery still depends on an unmentioned external link.
