Compare baby-shower vendors with one shared brief
For the host or planning lead comparing a venue, caterer, photographer, decorator or other baby-shower provider. Begin with the guest count, date range, budget ceiling and must-haves, then send comparable questions to each provider and verify the written terms. A low headline quote may omit delivery, setup, staffing, taxes, rentals or cancellation charges. Ask privately what accommodations and dietary information a guest wants shared, and pass only the necessary details to the relevant provider. This checklist helps organize a decision; it does not reserve a provider, confirm food safety or determine local legal requirements.

Set the event needs and who can book
Write the event date or acceptable date range, location, expected and maximum guest count, service type, setup and cleanup windows, budget ceiling and the person authorized to approve spending. Separate must-haves from preferences, and reserve a contingency for changes. List only the accommodations and food needs the host has permission to share; ask guests how they want those needs handled instead of adding diagnoses or personal details to a general vendor spreadsheet. Georgia Tech's event checklist is useful for brainstorming purpose, date, budget, venue access and guest needs, but its campus approvals, preferred caterers and other rules apply to Georgia Tech events only. Send the same short brief to each provider
Give every candidate the same event date/range, venue or travel area, guest range, service description, expected attendance, access/setup times, decision deadline and request for an itemized written proposal. Ask the venue about capacity, included furniture/equipment, accessible arrival and route, restrooms, parking, outside-vendor rules and rain or backup arrangements. Ask caterers about menu choices, ingredient/allergen communication, serving staff, equipment, delivery, minimum order, final headcount deadline and whether substitutions are possible. The ADA National Network's temporary-event guide offers planning questions about site choice, access and communication; for a private gathering, confirm needs with the guests and venue, and check the current standards and local rules that actually apply. Collect written prices, inclusions and conditions
Request a dated quote that identifies each service, quantity, hours, delivery/travel, setup and cleanup, staffing, rentals, taxes or fees, deposit, payment dates, overtime, minimums, changes, cancellation/refund terms and quote expiry. Record what is confirmed versus estimated, and ask for missing amounts before comparing. For venue access, use the U.S. ADA Standards reference as a starting point for current design requirements where the ADA applies, but do not treat a vendor's verbal assurance or this checklist as a compliance inspection; confirm actual features with the venue and consult the relevant authority or qualified adviser when needed. For food allergies, tell the caterer about the guest's stated need and ask how the specific menu and service will be handled; CDC dining-out guidance emphasizes communicating food allergies to restaurant staff, but does not certify a caterer's controls. Compare total cost and event fit side by side
Enter each written response into Nirmion Vendor Comparison Sheet (tool 676), using the same criteria and scoring scale for every candidate: total expected cost, date/availability, included services, guest capacity, accessibility answers, menu fit, responsiveness, setup/cleanup compatibility, cancellation exposure and open questions. Keep source quote, quote date and evidence next to every score; mark unknowns as unknown instead of awarding a neutral-looking score. Recalculate the estimated total with the fees and required add-ons included, and identify any hard requirement that a candidate cannot meet. The tool organizes your supplied information; it does not verify a provider, decide which requirement matters most, assess legal compliance or make the booking decision. Resolve gaps, book deliberately and keep a backup
Send shortlisted providers any remaining questions in writing and confirm the exact date, address, guest range, deliverables, total price, payment/cancellation terms, access and setup windows, food plan and named day-of contact before paying a deposit. Read the actual agreement and follow the host's approval rules; do not assume a quote is a contract or that a comparison score overrides written terms. Note who will make a weather or attendance decision, by when, and what the fallback costs. Share guest accommodation details only with the people who need them and only as authorized. Save the signed confirmation, receipts, versioned vendor comparison and backup contact in the host's chosen private location; re-confirm headcount and schedule at the deadlines in the agreements.
