Set the trip boundaries and name the travelers
Write down the destination, travel dates or date range, number of nights, starting location, transport modes under consideration, and the people included in the plan. Record constraints that affect price, such as room occupancy, required seats, mobility needs, meal arrangements, or equipment, but do not assume a child discount, free admission, or included service until the provider's current terms confirm it. Agree on a total spending ceiling and the amount that must remain available for normal bills and emergencies. The CFPB trip-spending worksheet is a simple prompt to make spending choices visible; adapt the idea to the family's actual trip and income rather than treating its example prices as estimates. Build a complete cost list before comparing totals
Create separate lines for transportation, lodging, local transfers, meals, planned activities, admission or reservation charges, travel documents when relevant, and a reserve. Mark each line as per person, per room, per vehicle, per day, one-time, optional, or not yet priced; this prevents a shared hotel room or vehicle cost from being multiplied like a per-person ticket. For air travel, include the actual fare and any services the group expects to use, such as bags or seat selection, and distinguish mandatory charges from optional add-ons. For parks or attractions, check the particular site's current fee and reservation page instead of copying a fee from a different location. (Sources 2, 3, 4)

Collect current quotes and read the terms that change the total
For each major item, record the provider, the date checked, the number of travelers or rooms covered, currency, taxes or fees shown, payment deadline, cancellation or refund terms, and what is excluded. Compare air tickets using the total displayed price and check the fare restrictions and the carrier's baggage and optional-service fees; the U.S. DOT explains that ticket restrictions and optional services can materially change what a traveler pays. For a rental or package, verify the address and seller independently, obtain refund and cancellation terms before paying, and walk away from pressure to pay through irreversible methods. Use the National Park Service's current fee list for each park on the itinerary because fees and nonresident rules can vary and change. (Sources 2, 3, 4)

Calculate the base plan and a clearly labeled reserve
Enter confirmed amounts and estimates as separate lines in Trip Budget Planner (Nirmion tool 35038), using the tool to total the categories and compare an overall or per-person view. Keep the assumptions visible: party size, nights, currency, quote date, and whether each amount is shared or multiplied by traveler. Add a reserve as its own planned amount rather than hiding it inside a guessed percentage, and state what it is intended to cover, such as a fare change before booking or local transport. Recalculate scenarios only when the underlying assumption changes; the browser-local tool does not look up current fares, fees, exchange rates, availability, or provider terms, and its arithmetic is not a recommendation to spend or borrow. Assign payments and keep the plan current through booking
Name who is responsible for each shared payment, when it is due, which amounts are already paid, and which quotes expire or need another check. After a booking, replace the estimate with the receipt total and record refundable versus nonrefundable amounts separately; revisit the family total when the party, dates, baggage, room, or activity choices change. Keep confirmations and receipts in a private folder and share only the summary needed by the group. Before sending money for lodging or a package, confirm the seller and property's details and read the refund terms; the FTC specifically warns about fake or hijacked vacation listings and pressure to pay quickly.
